Receptionist

Our current receptionist is moving overseas, so we are looking to find her replacement.

This busy role will include assisting multiple lawyers with administration tasks as well as standard receptionist duties. The perfect person will be someone who works well under pressure, has strong attention to detail, is a fast learner, self-motivating and takes initiative.

We have a very close relationship with our clients, so someone who is highly energetic, confident and has great interpersonal skills is essential, as you would be the first and last person our clients see.

It would be preferred that you have experience working in either a busy office environment, customer service or a front of house role.

This was originally a Monday-Friday position, but for the right candidate we are willing to discuss alternative options.

Key Responsibilities:

You will be based in the reception area, which can be a fast paced and busy environment depending on the day. You will be responsible for:

  • Greeting and engaging with clients
  • Serving coffees and teas to clients
  • Answering phone calls and passing detailed messages onto staff
  • Keeping the social areas of the office tidy
  • Keeping office and kitchen supplies stocked
  • Opening mail and sending couriers
  • Coordinate catering for meetings
  • Keeping minutes at team meetings

As well as basic reception duties you will also assist staff with:

  • Booking meetings on behalf of staff
  • Photocopying and scanning documents
  • Deeds
  • Drafting invoices and letters of engagement
  • Taking documents to court
  • A range of administration tasks which differ from day to day

Our ideal candidate:

  • Previous experience in a office, customer service or front of house role
  • Professional phone and email etiquette
  • Strong interpersonal skills when assisting clients
  • Takes initiative when learning new tasks
  • Superb listening skills
  • General knowledge of word and excel
  • Maintains the highest standards in personal presentation, integrity and confidentiality
  • Outstanding time management – always punctual and reliable
  • Can prioritise and multitask
  • Self-motivating
  • Well organised with strong attention to detail
  • A proven track record in working well within a team
